Welcome to the Driving School Manager How-To Guide
Overview
The Driving School Manager contains FIVE main areas that you will be using regularly to making bookings and perform administrative tasks.
  • Diary page
  • Dashboard
  • Calendar
  • Filters
  • Lesson types
The Diary page is where you will perform all your booking tasks, such as adding, editing, moving and deleting bookings.

The Dashboard is used to manage students, Instructors, Registries, Vehicles, SMS (if applicable) as well as Print and Reporting functions.

Use the Calendar to access bookings for an Instructor for a particular day, week or month.

Driving School Manager main section

The various Filters allow you to perform filtering functions associated with your Instructors and Lesson types.
The Lesson types box gives you a quick lookup for the various colours used to depict lesson types for bookings on the Diary page.
These areas are explained in details in the sections below.
Diary
The Diary is used to add, edit, paste, move and delete bookings as well as set availability for your Instructors.
The white cells in the Diary are vacant cells, each representing a 15 minute interval. To add a booking, double-click on a cell to open the Booking window, explained in the Bookings section.
The cells marked in grey represent a period of unavailability for the Instructor. Moving the mouse over the grey area will show a tooltip explaining the reason for the unavailability.
Existing bookings are marked by the colour of the Lesson type which can be determined from the Lesson Types key in the bottom left-hand corner of the Diary page.
The time intervals are displayed on the left of the Diary page, in intervals of 15 minutes.
The Instructors columns are displayed across the top of the Diary page. Moving the mouse over the Instructor's name will display a tooltip containing information for the Instructor, including vehicle type and registration number.

Right-clicking the mouse over a Diary cell will display a context-sensitive menu as displayed to the right.
The range of menu options available are:
  • Edit booking - select this option to edit an existing booking in the Diary.
  • Copy booking - select this option to copy this booking for pasting to a different location.
    To copy a booking follow this procedure.
    • Right-click on an existing booking
    • Select copy booking from the drop-down menu.
    • Move the mouse pointer over the Diary cell where you wish to paste the booking.
    • NOTE: You can change the Diary to any time period before pasting the booking.
    • Right-click on the cell and select Paste booking from the drop-down menu.
    • The booking will be pasted into the selected location unless there is a problem with the booking location, you will be notified if the booking cannot be inserted in the location you have selected.
  • Cancel booking - select this option to cancel an existing booking. A window will open asking you to give a reason for the cancellation. Selecting the 'Send SMS to Instructor' checkbox will send a formatted SMS message to the Instructor informing them of the cancellation. The booking is not deleted from the database and is available in the Reporting functions.
  • Delete booking - select this option to delete an existing booking. WARNING: the booking will be deleted permanently from the database.
  • Mark as Unavailable - This option enables you to mark a period of time as unavailable for an Instructor.
    Follow this procedure to mark an Instructor as unavailable.
    • Select the appropriate start-time for the unavailibility period in the Instructor's column.
    • Right click on the cell, the cell must be an empty cell, and select 'Mark as unavailable' from the drop-down menu.
    • Select the start and end times for the unavailability for the Instructor from the window that appears.
    • Click on 'Ok'. Another window opens, enter the reason for the unavailability, e.g. Dentist appointment, and click 'Ok'
    • The area you have selected will be marked in grey and when you mouse over the area, a tooltip will appear describing the reason for the unavailability.
  • Drag and drop facility - Two drag and drop facilities are available:
    • Existing student - On the left side of the Diary page is a textbox and icon as pictured to the right.
    • Begin typing the surname of the student in the textbox, and a drop-down list will appear of matching students.
    • Select the required student and then click and drag the student icon on to the Diary cell where you want to make the booking.
    • Release the mouse button and the booking window will appear. Create the booking and click on 'Add' to add the booking to the Diary.
    • Drag move a booking - Click and drag a booking on the Diary page to the required location and release the mouse. The booking will be moved to the selected location.

Dashboard
The Dashboard is used to manage students, Instructors, Registries, Vehicles, SMS (if applicable), To-Do's as well as Print and Reporting functions.
Driving School Manager Dashboard

The Dashboard provides one-click access to all of the administrative functions of the program including:
1. Administration - this section is used to enter your Business details, Lesson types, Diary times, Instructor display preferences and Instructor areas
2. Vehicles - You can administer Vehicle information in this section. Add, edit and delete information for your Vehicles in this section.
3. Registries - You can administer Registry information in this section. Add, edit and delete information for your Registries in this section.
4. Instructors - You can administer Instructor information in this section. Add, edit and delete information for your Instructors in this section.
5. Students - You can administer Student information in this section. Add, edit and delete information for your Student in this section.
6. SMS (SMS Edition Only) - The SMS Administration section is explianed in detail below.
7. To-Do - the ToDo section is used to manage your day to day tasks. You can add, edit or delete tasks in this section.
8. Reports - The SMS Administration section is explianed in detail below.
9. Print - You can print the current diary page, student, instructor, vehicle or registry list in this section.
10. Help - This help file is displayed whe nyou select this option.

Administration
There are six parts to the Administration section.
  • Business details - enter details for your business, the details will be used on your reports.
  • Lesson types - this section enables you to add, edit or delete Lesson types for your vehicles.
    To create a lesson type:
    • Type the Vehicle type, e.g. Car, Truck
    • Type the name of the Lesson type, e.g. Automatic, Manual
    • Select a colour for the Lesson type by clicking on the colour box marked 'Display colour'
    • Select 'Add' to add the Lesson type to the list

  • To edit a Lesson type
    • Select the Lesson type to edit from the list
    • Edit the details as required
    • Select 'Update' to update the Lesson type

    To delete a Lesson type
    • Select the Lesson type to delete from the list
    • Confirm that you wish to delete the Lesson type
    • The Lesson type will be permanently removed from the list
  • Diary times - enter the operating hours for your business eg operating hours may be 9am - 5pm or 7am - 4pm. The diary display will show booking times between those times only. You can also set the lead times for automated reminders such as Registration, Insurance and Professional Indemnity due dates.
  • Instructors - the Iinstructors section is used to change the order of display of the instructors in the diary. Click on the Instructor to move and click on the up or down arrow on the right of the list to move the Instructor.
    You can also set the order for the instructors lesson types. Click on the Lesson type to move and click on the up or down arrow on the right of the list to move the Lesson type.

  • Clients - This section enables you to add, edit or delete account paying clients associated with your students.

  • Areas - This section enables you to set geographical areas of operation for each instructor. Enter the name of the Area, e.g. North, and click on 'Add' on add the Area to the list. Click on the Area to edit and delete that area. After defining your Areas you can assign Areas to the Instructors in the Instructor Administration section.

Calendar

The Calendar is used to access bookings for an Instructor for a particular day, week or month.

The calendar shows today's date at the top and at the bottom. As you move through the calendar it will become necessary to return to today's date. To do this, click the date displayed at the bottom of the calendar.

There are several ways to navigate through the calendar.

  • Within the month that is displayed, click the mouse directly on to the date that you would like to go to. The selected day is highlighted with a box around it.
  • Click the 'Next day' or 'Previous day' buttons to move one day forward or backwards from the currently selected date..
  • Clcik the 'Next week' or 'Previous week' buttons to move one week forward or one week backwards from today's date.
  • To move forwards or backwards through the months, click on the month title and select the month from the list or click on the forward or back arrows to the right or left of the current month.
  • To move forwards of backwards through the years, click on the current year and choose the year you would like displayed from the list.

Filters

The Filters are used to target the Instructors most suitable for a booking.

There are two filters you can use to filter your Instructors to improve your ability to find the most appropriate Instructor for a booking.

Filter Instructors by Lesson Type

Select this option to filter your Instructors by Lesson type. Select the lesson type from the list and click on 'Go'. The Instructors that match the Lesson type will be displayed in the diary.

Filter Instructors by Area

Select this option to filter your Instructors by the Areas you have defined in the Administration section. Select the Area from the list and click on 'Go'. The Instructors that have been assigned the Area selected will be displayed in the diary.

You can use both Filters to select an Instructor by Lesson type and Area. Select the Lesson type first and then Select the Area and then click on 'Go' to show suitable Instructors.

Menus

There are three menu items displayed along the top of the diary window.

  1. File - contains Print Preview; Print; Export diary to Excel and Exit.
    • Print Preview enables you to view your diary page and set printing options before printing.
    • Print enables you to print the current diary page to your local or networked printer.
    • Export diary to Excel gives you the option to export the currently displayed diary to a Microft Excel spreadsheet.
    • Exit closes the program.
  2. Maintenance - contains Internal Backup; Internal Restore; External Backup; External Restore; Compact Database and User Administration.
    • Internal Backup - select this option to backup your database to the backup folder for the Driving School Manager on your hard disk. You will be notified when the backup is complete. We recommend backing up internally on a daily basis.
    • Internal Restore - select this option to restore your database from the Internal backup file. Your diary will be updated with the information in the backup. WARNING: Only use this option if your database is corrupted beyond repair.
    • External Backup - select this option to backup your database to an external location such as a CD, DVD or Flash drive. Insert the appropriate media into your computer, select the location for the external backup and click on 'Ok' . Your database will be saved to the selected location. We recommend an external backup on a weekly basis.
    • External Restore - select this option to restore your databas from an external source. e.g. CD, DVD, Flash drive. Insert the backup media into your computer, select the location of the database backup and click on 'Ok'. Your diary will be updated with the information in the backup. WARNING: Only use this option if your database is corrupted beyond repair.
    • Compact Database - select this option to compact your database. Over a period of time, the database can become slower due to database operations such as adding, editing and deleting records. Compacting the database ensures database integrity and faster access times. We recommend compacting the database on a weekly basis.
    • User Administration - this section is explained in full in the 'User Administration' section.
  3. Help - contains links to the Getting Started Guide; Help for Driving School Manager; About and Support Details
    • Getting Started Guide - a sequential guide to help get you started using the Driving School Manager. Provides step-by-step details about the information you need to enter before your software will operate correctly. This guide pops up automatically the first time you use Driving School Manager.
    • Help for Driving School Manager opens detailed documentation on operating the Driving School Manager.
    • About provides software version details, copyright information associated with this product and a brief overview of Driving School Manager.
    • Support Details provides contact details used for support in this program including website address, support email address, local phone number (Australia only) and International contact number.
SMS
The SMS Administration section is used to manage tasks associated with your SMS Facility.
Driving School Manager SMS Facility
The SMS Facility has several features:
  • Manual configuration of mobile phone - on occasions the mobile phone may not configure automatically when the Driving School Manager is started. This feature allows you to configure the phone manually.

    Select the Serial port from the dropdown list. The COM port is usually the highest number in the list, e.g. You may see COM2 and COM6.
    COM6 will be the port where the mobile phone is located. Select Connect to attempt connection to the mobile phone. This process usually takes about 5-10 seconds. If you have connected successfully to the mobile phone you will see a dialog box with a message similar to this:

    "Connected to Nokia 5070 by Nokia on Com6"

    Click 'Ok' on the dialog box, the mobile phone will complete configuration, it takes about 20 seconds, and your mobile phone will be ready for use. You will see information on your phone, as well as the current battery level of the phone.
    NOTE: You must have a mobile phone recommended for suitability by Medusa Business Solutions and a fully compatible Nokia CA42 data cable.
    If you are unsure that you have the correct components please contact MBS Support for assistance.
  • Send a message to mobile number - You can send SMS messages to your Instructors or to any mobile phone number using this feature. This is very useful for people who have difficulty using the keypad on a mobile phone. (Like the MBS staff!!!) You can select the Instructor from the list and his phone number will be placed into the phone number textbox automatically. Type your message in the 'Message to send' textbox and click on 'Send message' to send the message. It usually takes about 10-15 seconds to process and send the SMS message. You will be notified when the message has been sent.
  • Save log - Select this option to save the log to a file on your computer.
  • Print log - Select this option to print your log.
  • Clear log - Select this option to clear the log of all message details. The log will be cleared permanently.
  • Search log - Enter a keyword to search on and Click 'Search' to search the log. Matching results will be displayed in the log .
  • Show all - Select this option to show all log records after a search.
Reports
The Reports section is used to print or export reports based on various aspects of your Driving School.

Driving School Manager Reports

There are a large number of reports that can be generated. All reports can be printed or saved as a Microsoft Excel spreadsheet. They are :
  • Daily reports
    • New bookings - Select the start date and end date and click on 'Go' to view new bookings received for the selected time period.
    • Daily lessons - Select the start date and end date and click on 'Go' to view daily lessons for the selected time period.
  • Charts
    • New bookings - Select the start date and end date and click on 'Go' to view a chart of new bookings received for the selected time period.
    • Daily lessons - Select the start date and end date and click on 'Go' to view a chart of daily lessons for the selected time period.
  • Student reports
    • Student history - Select the student from the list and click on 'Go' to view a full history of the student. The report includes information such as student details, lesson dates and times, Instructor information and driving test details.
    • Students who haven't rebooked since... - Select the required date and click on 'Go' to view information on students who haven't rebooked for a lesson since the selected date.
    • Show students filtered by... - Select the various filter options to view students by Year, Postcode, Suburb or Gender. Any combination of filters can be used to obtain the desired results.
  • Instructor reports
    • Instructor statistics - Select the Instructor, or Instructors, to view and click on 'Go' to view a report on annual statistics for each Instructor. The report contains statistics on lessons, new students and drving test results.
User administration
The User Administration section allows you to assign access privileges for users of the Driving School Manager.

  • User Administration login - To Access the User Administration section, please enter the Administrator's username and password.

    The default username is Admin and the default password is admin.

    We recommend changing the Administrator password the first time you use the Administration area and keep it secure.

  • User Administration - Users - You can add, edit and delete users in this section

    To add a user enter their name, username and password and click on 'Add'.
    To edit a user select their name from the list, edit their details and click on 'Update'.
    To delete a user select their name from the list, select 'Delete' and confirm deletion of the user.

Driving School Manager User Administration

  • User Administration - Assign access - Use this section to apply access levels for the user.

    The user can either be an Administrator with full rights, a reader with View rights only, or a user with Custom rights defined by you.
    Select the appropriate access privileges for this person.
    The access privileges for this person will then be assigned the next time they log in to the Driving School Manager.
    Finally, to activate or deactivate User Access Control, check or uncheck the box next to 'Activate User Access Control'.
